Job Description:
A Physical Therapy Clinic is seeking a dedicated and professional Virtual Medical Receptionist to manage front-line communications and administrative tasks, ensuring seamless patient interactions and efficient scheduling. This role will serve as the practice's virtual front desk, handling all patient-facing interactions via phone and video calls with a friendly, welcoming approach.
Key Responsibilities:
- Appointment Scheduling & Reminders: Schedule and manage patient appointments with accuracy and efficiency.
- Patient Records Management: Organize and update patient records in Netsmart (Theraoffice).
- Patient Communication: Manage incoming patient calls with professionalism and a friendly demeanor.
- New Patient Intake: Accurately process new patient information and ensure thorough data collection.

- Virtual Front Desk Representation: Serve as the virtual receptionist through two-way video during open hours.
- Customer Service Excellence: Deliver exceptional service, addressing patient needs and inquiries.

Qualifications:
- Proficiency with Netsmart (Theraoffice) software is highly preferred.
- A professional, outgoing, and a person who shows initiative when speaking with clients, and colleagues.
- Proficient in Microsoft Excel, with the ability to work with quality reports.
- Proficient in English
- Willingness to be available in a video conference (virtual front desk).
- Willingness to do 2 - 4 hours overtime throughout the week.
- Excellent communication skills, detail-oriented, and highly organized.
- Comfortable seeking assistance when needed and proactive in problem-solving.

Basic Requirements:
- Ability to submit NBI clearance
- Must be able to communicate clearly and effectively.
- Reliable computer and internet connection (at least 10mbps via cable modem, DSL/Fiber only).
- Reliable mic and headset (earphones are fine) / (noise-canceling headset) and a webcam.
- Minimal environmental noise (preferably zero if on camera frequently).
-Availability to meet the required hours.
- Submission of a short video introduction.
- Possession of a valid ID.
- Not currently working with any other clients during the required work time.
