Job Description:
We are currently seeking a skilled Construction Administrative Assistant to join our team. The ideal candidate will have experience working in a similar role within the US construction industry, preferably with exposure to residential construction and renovation, handyman and maintenance jobs. This individual will be responsible for providing administrative support to our managers and tea
Responsibilities:
- Assist project managers with day-to-day tasks and project coordination.
- Maintain and organize all project documentation, including contracts, permits, change orders, and reports.
- Track deadlines, schedules, and ensure compliance with project timelines.
- Serve as the point of contact between clients, subcontractors, and suppliers.
- Coordinate project meetings, take minutes, and distribute action items.
- Handle
- Prepare and submit permit applications and ensure compliance with local regulations.
- Track and manage necessary licenses, inspections, and approvals.
- Assist in maintaining compliance with building codes and safety requirements.
- Maintain records of suppliers, purchase orders, and delivery schedules.
- Assist in negotiating prices with vendors to ensure cost efficiency.
- Assist with payroll preparation, invoicing, and expense tracking.
- Monitor project budgets and report any discrepancies.
- Prepare financial reports for management review.
- Help prepare bids, estimates, and tender submissions.
- Collect and organize quotes from subcontractors and suppliers.
- Maintain a database of historical project costs for reference.
- Match receipts on the software (Buildertrend) from the vendor portal.
Requirements:
- Minimum of one year of experience in an administrative role within the US construction industry, preferred.
- Familiarity with residential construction, renovation, handyman and maintenence jobs, and commercial renovations preferred.
- Strong communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite and/or Google Workspace.
- Excellent organizational and time management abilities.
- Ability to multitask and prioritize tasks effectively in a fast-paced environment.
- Detail-oriented with a high level of accuracy in data entry and record-keeping.
