We are seeking a proactive, organized, and personable virtual assistant who can take over administrative tasks and handle client interactions. This role will focus primarily on responding to customer inquiries, managing bookings, and supporting our marketing efforts through social media and lead generation. The ideal candidate will have strong communication skills, attention to detail, and the ability to take initiative in handling various tasks.
Key Responsibilities:
Client Interaction & Bookings:
Answer phone calls and respond to inquiries promptly.
Handle incoming bookings and inquiries via phone,
Schedule consultations and events, coordinating with the bartending team and clients.
Send out contracts, invoices, and event details.
Ensure all customer interactions are handled professionally and courteously.
Administrative Support:
Assist with event coordination and management, including maintaining up-to-date schedules.
Manage Google Calendar for event and consultation scheduling.
Organize event details and assist with logistics as needed.
Track inquiries, bookings, and client follow-ups to ensure timely communication.
Marketing & Social Media Support:
Post regularly to relevant
Collect photos and event materials from bartending staff and post content to social media (Instagram,
Manage basic social media content creation, such as creating event highlights, posts, and stories.
Help generate leads by researching potential venues and reaching out to them for collaboration opportunities.
Engage with preferred vendors and clients on social media to maintain relationships.
SEO & Website Support:
Support basic SEO efforts by posting blogs and articles related to events, bartending, and weddings.
Update website content as needed, ensuring accurate and fresh content for prospective clients.
Additional Support:
Research potential venues and event planners for partnerships.
Manage databases for clients and preferred vendors, maintaining accurate records of interactions.
Help with occasional cold outreach to restaurants, venues, and event coordinators for lead generation.
Qualifications:
Experience with customer service and managing bookings.
Ability to handle phone calls in a professional and personable manner.
Proven experience in a virtual assistant or similar administrative role.
Strong organizational and communication skills.
Familiarity with social media platforms and posting tools
Experience with basic SEO, blog posting, and website management is a plus.
Self-starter, able to work independently and take initiative.
Comfortable working remotely with minimal supervision.
Preferred Experience:
Background in hospitality, event planning, or bartending services.
Experience with CRM tools and project management software.
