JOB OVERVIEW

Our company, Get It Done For Me Services, is seeking an experienced Executive Administrative Assistant with a background in the construction industry to support a U.S.-based construction company. This role requires familiarity with U.S. construction practices, codes, and terminology and the ability to work independently from a remote setting. If you're detail-oriented, proactive, and can handle various administrative tasks, we'd love to hear from you.

As our Executive Administrative Assistant, you will provide critical support to the project management team, handling clerical and administrative duties that keep our projects running smoothly. The ideal candidate will have experience in construction-related administrative work, including scheduling, following up on communications, and coordinating logistics. This role also requires availability on a standby basis to accommodate the client's needs.

Key Responsibilities:
- Manage scheduling and appointments for the team, ensuring an established routine.
- Conduct follow-up email, text, and phone communications to ensure smooth project coordination.
- Handle logistics, including insurance documentation, project updates, and sending relevant information to accounting.
- Coordinate with project leads to maintain accurate and timely notes in systems or files.
- Follow up with customers, project contacts, and leads to ensure excellent service and timely responses.
- Be available on standby between 8 AM and 4 PM Eastern Time, Monday through Friday.

Requirements:
- Proven experience in administrative support within the construction industry, specifically with U.S. construction standards, codes, and measurements (e.g., feet, inches).
- Strong organizational skills with attention to detail and an ability to multitask.
- Excellent communication skills, both written and verbal, with a proactive approach to following up.
- Comfortable using specific lingo, abbreviations, and terminology common in U.S. construction.
- Ability to work independently and remotely while maintaining accountability.

Preferred Qualifications:
- Previous experience working as a virtual assistant or remote administrative assistant in construction.
- Familiarity with Eastern Time work schedules and availability during business hours for standby tasks.
