As we expand, we are looking for a proactive, extremely detail-oriented Virtual Assistant with bookkeeping experience to support both our financial and administrative needs. Job Overview:
The Virtual Assistant - Bookkeeping & Operations Support role is a hybrid position focused on both bookkeeping tasks and administrative duties, with a key emphasis on standardizing processes. You will assist with current client work, ensure bookkeeping tasks are up-to-date, client support, assisting the founder with email management, help document and optimize our internal processes, and other administrative tasks. This position is ideal for someone who is eager to grow in both accounting and operations management.

Key Responsibilities:
Bookkeeping & Client Support
* Perform daily bookkeeping tasks such as transaction categorization, reconciliation, and financial report preparation.
* Assist in managing client accounts to ensure accuracy and timeliness in data entry, invoicing, and financial reports.
* Conduct audits and quality checks of bookkeeping entries to maintain high accuracy.
* Follow up with clients to gather missing documents and resolve inquiries, maintaining professional and responsive communication.

Administrative Support & Process Documentation
* Develop, update, and refine Standard Operating Procedures (SOPs) for core bookkeeping and administrative tasks.
* Research and recommend tools or systems to improve operational efficiency.
* Organize and maintain digital files for easy accessibility and audit readiness.
* Support client communication, data organization, scheduling, email management, and customer service.
* Assist with digital marketing tasks, social media management, and client follow-ups.
* Cleanup and manage founder's email accounts.
* Additional administrative tasks.

Qualifications:
Required Skills and Experience:
* Bookkeeping Experience: At least 2 years of hands-on experience in bookkeeping, with knowledge of key tasks like reconciliation, data entry, and reporting.
* Tech Savvy: Proficient in QuickBooks, Google Workspace, and project management tools (e.g., Asana, Trello, Clickup).
* Organized & Detail-Oriented: Strong attention to detail, with a systematic approach to managing tasks and deadlines.
* Process Documentation Skills: Ability to create clear, step-by-step documentation for tasks, including screenshots or visual aids as needed.

* Strong Communication Skills: Excellent written and verbal communication skills, capable of providing professional responses to client inquiries and documenting processes for team reference.
* Proactive & Resourceful: Demonstrates a problem-solving attitude, is comfortable learning new skills independently, and adapts to changes.

Preferred Qualifications:
* Experience in SOP Creation and Improvement: Familiarity with developing, updating, and organizing SOPs or process documents.
* Ability to Multitask & Prioritize: Comfortable managing multiple client accounts and tasks, with a good sense of prioritization.
* Customer Service Experience: Prior experience communicating with clients or customers in a service role is a plus.
