We are looking for a highly organized and detail-oriented Administrative Coordinator to join our team. This role involves managing various administrative tasks, including client communications, travel service management, contract handling, and office support functions. The candidate will be responsible for responding to client inquiries, providing travel insurance quotes, managing service agreements, auditing contracts, tracking payment deadlines, generating financial reports, coordinating roommate matches for group travel, assisting in trip planning, and maintaining calendars. The role also includes additional administrative duties as needed.
Key Responsibilities
• Respond to Client
• Audit Travel Contracts: Review contracts from tour suppliers and airlines, ensuring accuracy, compliance, and adherence to agreed terms and conditions.
• Manage Payment Deadlines: Track payment deadlines and due dates for clients, ensuring timely processing and adherence to financial obligations.
• Run A/R Reports: Generate accounts receivable reports to monitor outstanding payments and follow up as necessary.
• Roommate Match Program: Coordinate roommate matches for clients participating in group travel programs, ensuring compatibility and satisfaction.
• Assist with Trip Planning and Development: Provide support in the planning and development of travel itineraries, including research, booking arrangements, and logistical coordination.
• Organize Calendar: Maintain and update organizational calendars, scheduling appointments, meetings, and other events as required.
• Other Administrative Tasks and Projects: Undertake additional administrative tasks and projects as assigned by management, demonstrating flexibility and adaptability in handling various responsibilities.
