What We Need
We are seeking a Parts Coordinator with advanced English to work remotely.
You will play a crucial role in ensuring the seamless procurement and management of parts and equipment. This role is ideal for individuals who are detail-oriented, thrive in a fast-paced environment, and are adept at using technology to enhance operational processes.
You will be working with a team of others in the Philippines and the USA.
You will report to the Service Operations Manager.
Responsibilities
Research and provide parts and equipment pricing information to tea
Accurately and efficiently process parts and equipment orders as directed by technicians and managers, ensuring that the right components are procured to meet service requirements and customer satisfaction.
Diligently monitor orders and oversee shipping logistics to ensure timely arrival of parts and equipment, aligning with our commitment to rapid response times for customers.
Regularly update our Enterprise Resource Planning (ERP) system and tracking spreadsheets to accurately reflect the latest status of parts and equipment orders, ensuring daily records are current and precise.
Provide clear and prompt responses to internal stakeholders about orders
Regularly check and report on the prices and availability of parts from our suppliers, and keep an eye out for special deals or discounts.
Handle the paperwork and coordination needed to add new suppliers to our approved list, working with our accounting team to manage this list.
Manage returns, working closely with our accounting team.
Enter and check customer information in our ERP system to make sure it’s correct.
Support our team in managing our inventory, ensuring that our records in the ERP system and tracking spreadsheets are always accurate and up to date.
Qualifications
Proven experience in parts coordination or a similar role.
Familiarity with inventory management and supply chain processes.
Strong organizational skills and attention to detail.
Ability to work independently in a remote setting.
Excellent English communication and interpersonal skills.
Ability to adapt to a rapidly changing environment.
Technical knowledge or background in Commercial Refrigeration/HVAC, Mechanical Engineering graduates preferred but not required.

Paid twice monthly – on the 15th and 30th of each month
10 days paid time-off per year after 90-day probationary period
