JOB OVERVIEW

Job Overview:

The Scheduler is responsible for managing the schedules of Direct Support Professionals (DSPs) across multiple sites, ensuring adequate staffing levels and compliance with labor regulations. This role is crucial for maintaining smooth operations, reducing overtime costs, and preventing staff burnout while ensuring high-quality care for individuals served by the organization. Reports to: HR Manager and AD in Operations.

Responsibilities:

Schedule Management: Build weekly schedules for DSP shifts (7 AM - 3 PM, 3 PM - 11 PM, 11 PM - 7 AM) while balancing staff availability and preferences.

Callout Management: Handle real-time shift coverage in the event of DSP callouts, ensuring continuous staffing and minimal disruptions to care.

Overtime Control: Monitor and manage schedules to keep overtime costs low and maintain cost-efficiency.

Burnout Prevention: Ensure fair distribution of shifts and prevent over-scheduling to protect staff well-being and prevent burnout.

Compliance Oversight: Ensure schedules comply with labor laws, including shift lengths, rest periods, and other regulatory requirements.

Shift Preferences & Rotation: Manage and accommodate staff shift preferences while ensuring coverage requirements are met, including seniority and rotational shifts.

Staff Qualifications: Track certifications, qualifications, and skill levels of DSPs to assign them to the appropriate individuals based on their care needs.

Vacation & Leave Management: Coordinate vacation requests and time-off schedules, ensuring adequate coverage during peak periods.

Communication with DSPs: Regularly communicate schedule updates, shift changes, and staffing adjustments with DSPs promptly.

Data Tracking & Reporting: Maintain accurate records of overtime, absenteeism, tardiness, schedule adherence, and other scheduling-related metrics. Provide reports and insights to HR and management.

Cross-Site Coordination: Collaborate with site supervisors to ensure consistent staffing levels across all residential sites.

Staff Wellness Monitoring: Monitor workloads and schedules to ensure DSPs are not overworked and to avoid burnout, ensuring the well-being of staff.

Efficiency Optimization: Identify and address inefficiencies in scheduling, such as unnecessary overlap, gaps in coverage, or excess overtime, and make improvements to enhance scheduling efficiency.


Required Qualifications:

Proven experience in scheduling, staff management, or similar roles, ideally in a residential care or healthcare setting.

Familiarity with scheduling software and tools.

Strong understanding of labor laws and scheduling regulations.

Excellent organizational, problem-solving, and multitasking abilities.

Strong communication skills, with the ability to effectively communicate with staff and management.

Ability to work under pressure, handle emergencies, and adapt to last-minute changes.

Experience with managing hourly workers, overtime, and workforce planning is a plus.


Preferred Skills:

Experience in healthcare, residential care, or DSP management.

Proficiency in scheduling software (e.g., Deputy, ADP, or similar system).

Ability to handle confidential and sensitive information.
