Executive Assistant and Client Relations Specialist (Remote Full-Time Position)

(A) Introduction:
WASHINGTON CONSTRUCTION is seeking a highly motivated and efficient Executive Assistant and Client Relations Specialist to join our dynamic team. This remote full-time position is perfect for individuals who excel in a fast-paced environment and are dedicated to providing exceptional administrative support and client communication. Our unique approach to remote work includes comprehensive training, collaborative tools, and a supportive team culture.

(B) Key Responsibilities:
- Administrative Support: Assist the management in scheduling meetings, managing calendars, preparing reports and presentations, and maintaining the company's internal knowledge hub.
- Strategic Planning: Collaborate with the CEO on business expansion strategies, including the development of a remote workforce structure.
- Process Development: Create and document detailed processes for operational, marketing, project management, and administrative tasks to facilitate company growth.
- Team Coordination: Act as a liaison between different departments, ensuring smooth communication and project execution.
- Resource Management: Assist in identifying and allocating resources for various projects and initiatives.
- Client Communication: Serve as a key point of contact for clients, addressing inquiries, providing updates, and fostering strong relationships through various communication channels, including phone calls.
- Market Research: Conduct market research to identify potential marketing campaigns and coordinate with external agencies to execute them effectively.
- Social Media Management: Manage the company's social media presence, engage with followers, and monitor the effectiveness of marketing efforts.
- Project Assistance: Support the management in streamlining administrative processes and collaborate with the team to ensure smooth project execution.
- Financial Overview: Assist in basic financial tasks such as invoice processing, expense tracking, and budget monitoring.
- Recruitment Support: Aid in the hiring process for future remote positions as the company expands.
- Performance Tracking: Implement and maintain systems for tracking company KPIs and individual performance metrics.
- Technology Integration: Research and recommend tools and software to improve company efficiency and remote collaboration.

(C) Requirements:
- Availability: Must be comfortable working 9 AM to 5 PM PDT, corresponding to 12 AM to 8 AM PHT, Monday through Friday.
- Communication Skills: Exceptional verbal and written communication abilities, with comfort using phone calls as a primary communication tool. Training will be provided for call handling procedures.
- Engagement: Ability to remain fully engaged and responsive during work hours, managing stress effectively while multitasking.
- Collaboration Tools: Proficiency in using TimeProof for time tracking and Gather for virtual office collaboration.
- English Proficiency: Minimum C1 level proficiency in English.
- Education and Experience: Bachelor's degree in Business Administration, Marketing, or a related field, with a minimum of 3 years' experience as an Executive Assistant or similar role.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with project management and collaboration tools (e.g., Trello, Asana, Google Workspace, Buildertrend).
- Adaptability: Ability to quickly learn and adapt to new tools, processes, and responsibilities as the company grows.

(E) Trial Period and Benefits:
- Initial Trial Period: 1-3 months, with performance evaluations. Working hours are set for 9 AM to 5 PM PDT.
- Salary: $600 monthly during the trial period, with a review for adjustment based on performance upon completion.
- Benefits: Post-trial, you'll be eligible for certain benefits and potential bonuses.
- Outstanding employees may have the opportunity to join us in the United States with a significant salary adjustment.
