Job Title: Executive Assistant to CEO

Position Overview:
As my Executive Assistant, you will play a crucial role in managing my day-to-day activities, allowing me to focus on driving the company’s strategic vision and growth. You will be the go-to person for coordinating my schedule, managing communications, handling administrative tasks, and ensuring that my time is used effectively. This position is perfect for someone who is highly organized, self-motivated, and excellent at problem-solving.

Key Responsibilities:

• Calendar and Schedule Management: Proactively manage my calendar, ensuring that my time is allocated effectively to high-priority tasks. Coordinate meetings, training sessions, and coaching calls, and ensure I am prepared for each engagement.
• Task and Project Coordination: Assist with ongoing projects, including recruiting, onboarding, and training new employees. Manage task lists, track project progress, and ensure deadlines are met. Delegate tasks to other teaUpgrade to see actual infombers when appropriate.
• Administrative Support: Handle day-to-day administrative duties such as managing emails, drafting communications, organizing digital files, and maintaining office systems. Oversee logistics for meetings, office setup, and travel arrangements.
• Sales Support: Help manage sales activities by setting up sales calls, coordinating with the sales team, and managing lead flow. Support the Sales Lead Manager with data management and CRM updates.
• Process Improvement: Identify areas where processes can be streamlined and help implement automation tools to reduce manual workload. Manage systems like Podio and Globiflow and coordinate with tech teams to improve efficiency.
• Communication Management: Serve as the first point of contact for internal and external communications. Draft and send emails, follow up with clients, partners, and teaUpgrade to see actual infombers, and ensure clear and timely communication.
• Team Coordination: Work closely with teaUpgrade to see actual infombers to ensure they are accountable for their tasks and responsibilities. Help coordinate efforts across acquisitions, dispositions, marketing, and transaction management.
• Research and Documentation: Conduct research for various business initiatives, create reports, and organize information to support decision-making. Help document company standards, processes, and employee handbooks.

Requirements:

• Fluent English Speaker: Must be able to speak and write fluently in English with excellent communication skills.
• Phone and Virtual Communication: Comfortable communicating by phone, email, and virtual meetings.
• Working Hours: Must be available to work from 9:00 am to 5:00 pm Eastern Standard Time (EST).

• Flexible and Adaptable: You’re comfortable with changing priorities and can adjust on the fly when new challenges arise.
• Confidentiality and Discretion: You handle sensitive information with the utmost confidentiality and professionalism.
