JOB OVERVIEW

Highly organized and efficient General Admin RockstarVA to support our operations remotely. The ideal candidate will manage key administrative tasks and provide excellent customer service.
Key Responsibilities:
Answer and manage incoming phone calls and voicemails (2-20/day), ensuring all inquiries are handled professionally.
Query and retrieve data from Aspire CRM and occasionally from Quickbooks to support business operations.
Manage customer emails (2-10/day, with volume expected to increase), including reading, replying, taking notes, and escalating relevant issues to the General Manager.
Input and update information in Aspire, ensuring data accuracy and consistency.
Assist with task management, tracking, and following up on issues or assignments as required.
Oversee inventory management, keeping detailed and up-to-date records.
Handle the creation and processing of purchase orders, including vendor follow-ups to ensure timely deliveries.
Manage Amazon orders and coordinate inventory tracking.
Develop and maintain documentation, including Standard Operating Procedures (SOPs) and other relevant materials.
Required Skills and Qualifications:
Fluent English with excellent verbal and written communication (no accent required).
Experience with Quickbooks for tasks such as invoicing and transaction categorization.
Strong technical skills, with proficiency in Aspire CRM, email, and calendar management.
Detail-oriented with strong organizational skills.
Ability to manage multiple tasks and prioritize effectively in a remote working environment.
Self-motivated and able to work independently while maintaining a high level of accuracy and efficiency.
Preferred Qualifications:
Previous experience in administrative support or virtual assistant roles.
Experience in procurement or inventory management is a plus.
