JOB OVERVIEW

EXECUTIVE MANAGEMENT ROCKSTARVA who will be responsible for overseeing and managing OwnerRez and QuickBooks Online systems. This role involves a combination of strategic oversight, operational management, and detailed financial record-keeping to ensure the smooth functioning of our business operations.


I am truly looking for someone who will do much of what was described in the slides/below:
Process Management: Overseeing and improving business processes to enhance efficiency and productivity.
Project Coordination: Assisting in planning, executing, and monitoring projects, ensuring they are completed on time and within budget.
Staff Coordination: Scheduling and coordinating tasks for team members, tracking their progress, and ensuring they meet deadlines.
Data Analysis: Analyzing operational data to identify trends, inefficiencies, and areas for improvement.
Reporting: Preparing and presenting operational reports to management, highlighting key performance indicators (KPIs) and areas for improvement.
Quality Control: Monitoring product or service quality to ensure standards are met and implementing improvements as needed.
Compliance: Ensuring that operations comply with relevant laws, regulations, and company policies.
Technology Management: Overseeing the implementation and maintenance of operational software and tools.
Administrative Support: Providing general administrative assistance, such as scheduling meetings, managing communications, and organizing documents.

WE are looking for someone who will invest heavily in understanding our business and if/when necessary be in a position to learn then take over tasks from the Americans doing those tasks now.



Qualifications:
Proven experience managing OwnerRez and QuickBooks Online at a managerial level.
Strong understanding of property management systems, financial accounting, and business operations.
Excellent analytical skills with the ability to interpret data and provide actionable insights.
Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and other relevant software.
Exceptional organizational skills with attention to detail and the ability to handle multiple tasks simultaneously.
Strong communication skills, both written and verbal.
Ability to work independently and manage time effectively in a remote work environment.

Key Responsibilities:
QuickBooks Online Management: HIGHEST PRIORITY
Oversee all aspects of QuickBooks Online, including financial transactions, expense tracking, and reconciliation.
MOST IMPORTANT IS DAILY EXPENSE TRACKING, CATEGORIZING EXPENSES as they come in from the linked bank accounts. All expenses come in automatically through connected bank feeds, and must be categorized correctly.
2ND MOST NEEDED is to put incoming bills into QBO so I can approve/pay them. Our business pays many bills, but we vary rarely send bills out.
I have a bookkeeper doing much of the work I would like my VA to eventually take over. I need the VA to observe what my current bookkeeper is doing, read past communications, then start taking some of the tasks like end of month reconciliations.
OwnerRez Management: 2nd priority
I have a full time manager currently managing all of my rentals. I need a VA to observe what my manager is doing and start taking on some of the tasks starting with non-essential guest contact and feedback. Being ‘on call’ for guest contact after 6pm MST/8AM Manila. The goal is for our new team member to understand more and more of our business. We will be investing time walking through the homes and explaining it all to our team member.
Administer OwnerRez account settings, including booking management, channel integrations, and property listings.
Configure and manage pricing strategies, booking rules, and promotional offers. PRICING STRATEGY / Revenue management is a BIG plus
Monitor and resolve issues related to reservations, cancellations, and guest communications.
Generate and analyze reports on bookings, revenue, and occupancy to guide business decisions. I need someone watching calendars and alerting me to drop pricing if we have openings in the calendar approaching that haven’t booked.

Marketing and Content creation
If we can find someone with all three abilities, that would be great, otherwise I need the QBO/OwnerRez capable VA to oversee another person who could start marketing


4. Strategic Research and Analysis:
Develop and implement processes and procedures to improve efficiency in OwnerRez and QuickBooks Online.
Analyze financial data and OwnerRez metrics to provide insights and recommendations for growth and optimization. I need someone watching calendars and alerting me to drop pricing if we have openings in the calendar approaching that haven’t booked.
Look for pricing, research ideas for venue amenities in our upcoming projects, look for ideas from our competition. Shop for deals on needed goods and services we need to purchase. ( Like custom welding, or furniture, or trim carpenters). Scan Craigslist, facebook, etc for good and services we need.
Administrative Support:
Provide general administrative support as needed, including managing schedules, organizing meetings, and preparing documentation.
Assist with special projects and tasks related to both OwnerRez and QuickBooks Online as assigned.

CRITICAL ABILITIES:
I need the VA to have perfect English and be able to talk with short term rental guests on the phone.
I need my assistant to be able to lead and oversee other future team members/VAs to work on content creation and marketing.
