JOB OVERVIEW

We're looking for a Creative Project Manager with the skills and motivation to make a real impact. Join our team and play a crucial role in client communications, allowing our CEO to focus on their strengths. If you're a people person with strong verbal and written communication skills, project organization/coordination skills, and a passion for supporting creative work, we want you to be part of our dynamic team.

Role will start at 15 hours/week and quickly grow to 30-35 hours/week over the next 3-4 months for the right person.

What Success Looks Like in This Role:
- CEO liberated from executing 90% of administrative tasks
- ClickUp workspace operates seamlessly, enabling teaUpgrade to see actual infombers to access resources efficiently.
- Files are organized, clients are onboarded smoothly, team is supported

Responsibilities:

Client Communications:
+ Client Serve as the primary point of contact for clients
+ Promptly respond to client inquiries via email, phone, or other communication channels
+ Provide regular updates to clients on project progress, timelines, and any changes within business hours (9 am-4 pm PST)

Client Relationship Management:
+ Build and maintain strong, long-lasting client relationships
+ Understand client needs, goals, and expectations
+ Identify and address client concerns proactively. Escalate complex issues to the appropriate teaUpgrade to see actual infombers or CEO when necessary
+ Collaborate with CEO (where necessary) to develop solutions to client challenges
+ Seek client feedback and work to continuously improve client satisfaction

Project Coordination
+ Act as a liaison between clients and the team
+ Communicate client requirements, preferences, and feedback to the design team

Meeting Management
+ Schedule and coordinate meetings between clients and the project team
+ Prepare meeting agendas and necessary materials
+ Facilitate meetings to ensure productive discussions and clear action items
+ Follow up on meeting outcomes and ensure action items are completed

Client Onboarding and Offboarding
+ Create SOWs and complete admin tasks for onboarding new clients
+ Provide clients with necessary information, documents, and resources
+ Ensure a smooth transition during client offboarding, including project wrap-up and feedback collection

Continuous Improvement
+ Recommend and work with Ops to implement process improvements to enhance client experience and satisfaction

Required Qualifications:
+ 3+ years of experience in project management, preferably in a creative or design agency
+ Proven track record of successfully managing multiple projects simultaneously
+ Strong understanding of design processes and terminology
+ Excellent communication and interpersonal skills
+ Proficiency in project management software (e.g., ClickUp, Trello)
+ Demonstrated ability to manage client expectations and maintain positive relationships

Preferred Qualifications:
+ PMP certification or other relevant project management certifications
+ Experience working with nonprofit organizations or on social impact projects
+ Knowledge of agile project management methodologies
+ Familiarity with budgeting and resource allocation in a creative environment
+ Experience with client-facing roles and stakeholder management
