Position Overview:
The purpose of this role is to work directly with OutSnapped’s dynamic Sales Team to support and enhance how we operate. As the backbone of our sales force, you’ll orchestrate the behind-the-scenes magic that keeps our events and projects running smoothly. Your role will be responsible for ensuring every detail of our daily, weekly, monthly and project-based tasks is buttoned up, adeptly handling pre-meeting preparations, managing meticulous follow-ups, maintaining sales databases, and ensuring seamless communication across the team. In essence, you’re our sales team’s secret weapon, helping us amplify our message, increase awareness, build relationships and drive sales.

Responsibilities (tasks associated with the role):
- Conduct pre-meeting research and prepare materials, setting the stage for successful sales presentations (including compiling pre-meeting notes + decks) and demos, ensuring they are prepared and distributed at least one hour before each sales call or demo.
- Take detailed notes during meetings using our standard templates.
- Setting up and managing follow-up communications meticulously, keeping our sales team engaged and informed throughout the sales process.
- Generate, run, and submit detailed sales reports on payments received, outstanding invoices, and other critical sales data.
- Take pride in maintaining and updating sales and client databases with the utmost accuracy.
- Schedule and manage complex calendars for the sales team, keeping track of all key dates and commitments.
- Execute additional sales support tasks (such as invoice preparation, proposal drafting, and sales deck creation from templates) and projects assigned.
- Respond promptly to emails, phone calls, and other forms of correspondence, ensuring our brand's voice remains engaging and professional.
- Ensuring daily, weekly, monthly and project based tasks are completed accurately and on time.

Requirements (and expected proficiencies to excel in this role):
- High School Diploma or equivalent transferable experiences.
- Proficiency in Google Workspace (Calendar, Docs, Sheets, Slides,etc).
- Proficiency in HubSpot CRM required and familiarity with Pixifi is considered a plus.
- Strong interpersonal communication skills to interact effectively with team members and clients.
- Ability to anticipate the team’s needs and proactively address them, ensuring seamless sales operations.
- Excellent customer service skills, with a friendly demeanor and dedication to resolving inquiries and issues.
- Strong foundational knowledge of sales techniques and the capability to effectively promote and explain our innovative products and services.
- High organizational competency to manage multiple tasks and maintain order in a dynamic, changing environment.
- Basic mathematical skills for managing transactions and financial calculations.
Metrics (Expected Results):
- Maintained the sales team’s calendar, with no overlap in meetings or appointments.
- Completed tasks and projects with a high level of efficiency, accuracy and confidentiality.
- Ensure all sales inquiries are responded to by the end of the day each day and email checked a minimum of 3 times (Morning, Afternoon & Evening) throughout the day.
- Preparation of meeting notes and sales/marketing decks from templates in a timely and accurate manner.
- Reporting that supports sales decision-making in a timely and accurate manner.
- Maintained consistency and accuracy in database management and internal communications.
- Effective handling of sales leads and follow-ups, contributing to an increase in customer engagement and sales conversions.

Location:
- OutSnapped is based in New York City with a globally distributed remote team. This position is likely to be remote, allowing for flexibility and connectivity with our team across various locations. While the role is remote, we operate on Eastern Standard Time (EST).
- Salary is commensurate with experience. This is a contract position with the opportunity to transition to full-time after a successful probation period of 90 days. We offer competitive compensation that reflects the expertise and capabilities you bring to the OutSnapped team.
