JOB OVERVIEW

Job Overview:

We are seeking a highly organized and proactive Virtual Assistant to provide comprehensive support to our Sales Team. The ideal candidate will excel in pipeline management, client communications, and supporting ongoing deal flow. This role requires a combination of administrative skills, strong communication abilities, and a keen understanding of sales processes.

Responsibilities:

Pipeline Management:

- Assist in maintaining and organizing the sales manager/broker's pipeline by updating CRM systems, tracking leads, and ensuring accurate and up-to-date information.
- Monitor and follow up on leads and opportunities to ensure timely progression through the sales pipeline.
- Generate reports and analyses to provide insights into pipeline status and trends.

Client Communications:

- Act as a primary point of contact between the sales manager/broker and clients.
- Facilitate communication by responding to inquiries, scheduling meetings, and managing email correspondence.
- Ensure a high level of customer satisfaction through timely and professional interactions.

Deal Flow Support:
- Coordinate and schedule appointments, calls, and meetings related to ongoing deals.
- Assist in the preparation of proposals, contracts, and other relevant documents.

Administrative Tasks:

- Manage the sales manager/broker's calendar, ensuring optimal time management and prioritization of tasks.
- Conduct research on potential clients, industries, and market trends to support sales efforts.

Qualifications:

- Proven experience as a Virtual Assistant or in a similar role supporting sales professionals.
- Familiarity with CRM systems and proficiency in office software (primarily Airtable, Slack, Google Drive, and Gsuite products).
- Exceptional organizational and multitasking abilities.
- Strong written and verbal communication skills.
- High level of discretion and ability to handle confidential information.
- Ability to work independently and take initiative to solve problems.
- Knowledge of sales processes and terminology is a plus.
