We are seeking a reliable and organized Virtual Assistant for a wellness spa in San Diego, California, USA. This position will be responsible for various front desk duties to ensure smooth operations and excellent patient care. The ideal candidate should have experience in medical office administration, ideally in aesthetics and wellness, and possess the ability to handle multiple tasks efficiently in a remote environment.

Key Responsibilities:
- Answer incoming phone calls and provide excellent customer service to patients.
- Schedule patient appointments, ensuring accurate and timely booking.
- Send required patient paperwork and instructions prior to appointments.
- Obtain insurance approval for patient visits, working closely with insurance companies.
- Input patient data into the billing software system accurately and in a timely manner.
- Address and resolve billing denials, ensuring all necessary follow-up actions are taken.
- Assist with general office tasks as needed to ensure smooth daily operations.

Qualifications:
- Proven experience in a remote medical office setting
- Strong knowledge of insurance processes and how to obtain insurance approval for medical visits.
- Experience with scheduling appointments and managing patient communications.
- Familiarity with medical billing software and handling billing denials.
- Excellent organizational skills and attention to detail.
- Strong communication skills, both written and verbal.
- Ability to work independently and manage time effectively in a remote environment.
- Proficient in using phone systems and office software (e.g., MS Office, Google Suite).
