First Steps Chiropractic is looking for a highly organized, detail-oriented, and proactive Virtual Assistant to support our growing practice. This remote position requires experience in data entry, insurance billing and follow-ups, marketing, and CRM management. The ideal candidate is tech-savvy, able to take initiative, and thrives in a structured yet independent work environment.
We need someone with excellent written and spoken English skills, strong problem-solving abilities, and a willingness to learn new tasks and innovate within their role.
Key Responsibilities:
- Admin & Data Entry: Accurately enter and update patient records and insurance information in ChiroHD.
- Manage daily administrative tasks, ensuring efficiency and organization.
- Follow established systems while improving them when needed.
- Insurance Billing & Follow-Up: Verify insurance benefits by calling insurance companies and gathering coverage details.
- Submit insurance claims and follow up on outstanding claims, denied payments, or missing reimbursements.
- Communicate with attorneys and insurance adjusters when necessary for documentation and claims resolution.
- Marketing & CRM Management: Work with Go High Level (GHL) CRM to manage patient communications, automate follow-ups, and optimize lead generation.

- Innovation & Problem-Solving: Adapt to new software and systems quickly.
- Identify areas for improvement and take initiative to optimize workflows.
- Maintain strong attention to detail, ensuring accuracy in data, communications, and reporting.
Qualifications:
- Excellent written and spoken English—clear communication is a must.
- Experience in data entry, administrative tasks, and insurance billing (some experience required, training provided).
- Previous experience calling insurance companies or attorneys is a plus.
- Familiarity with Go High Level (GHL) or similar CRM platforms is preferred but not required.
- Ability to learn new tools, innovate, and work independently.
- Strong organizational skills with a keen eye for detail and accuracy.
Compensation & Schedule:
- Starting Pay Range: $5 - $7 per hour, depending on experience.
- Work Hours: Monday - Thursday/Friday, 9 AM - 6/7 PM PST.
- 30-day review: Assess workload, efficiency, and potential pay/hours adjustment.
- 60-day and 90-day reviews to ensure continued growth and alignment.
