JOB OVERVIEW

Administrative & Executive Assistant - VA
• Assist in the preparation of listings, MLS drafts and open houses and coordinating with various vendors and suppliers
• Arrange showings and prepare showing materials Scheduling and booking appointments for showings and printing and organizing documents for showings and presentations
• Scanning and photocopying various documents, sending reports or documents and compose emails to vendors, clients, agents and office staff, lawyers, mortgage brokers, etc
Filing, manage files (digital) and completing and compiling documents for trade records
• Answer phone calls when required and take messages, manage requests for information from clients and agents and calling agents for feedback on listings
• Arrange couriers, deliveries and pick-ups such as pick up new cheques or keys from tenants
• Data entry & Uploading Expenses - light bookkeeping
• Organize client events and help with event planning throughout the year

Set up lockboxes and feature sheets for listings, prepare for open houses, such as printing addresses for signs, printing open house registration forms and setting up open house signs
• Oversee accuracy and timeliness of each step of buyer, seller and investor transactions
Technology & Software
• Understanding and marketing listings on Social media - LinkedIn, Facebook, Twitter, Instagram, Youtube, etc.
• MS Office proficiency - Excel, Word and PowerPoint, Adobe PDF
• Manage client database CRM & email systems
• Toronto TREB Stratus MLS, Broker Bay, Webforms, Docusign/Authentisign, Quickbooks, Adobe Photoshop, Canva would be an asset

Qualifications and Skills
Preferred Skill Sets:
• Pleasant personality and strong interpersonal skills
• Excellent proofreading, written, verbal skills and professional phone etiquette
• Administrative experience would be an asset
• Computer literate; ability to use, learn and understand various software programs very well

• Organized by nature, ability to create filing systems
• Self motivated, excellent time management and ability to work under pressure and tight deadlines if needed, ability to multitask
