We’re hiring a full-time, 100% remote Operations Coordinator.

You’ll be responsible for supporting the Director of Operations and the CEO in managing a range of tasks that are critical to the smooth running of the business. This includes managing calendars, coordinating meetings, organizing project workflows, and providing administrative support. You’ll also contribute to the development of operational processes and help manage relationships with partners and affiliates.

In this role, you’ll work closely with the team to ensure that operations run smoothly. You will play a key role in creating and improving workflows, keeping everything organized, and ensuring that our internal processes are always moving forward efficiently.

About the Role

As a full-time Operations Coordinator at Future Firm, you will support the Director of Operations and CEO by managing administrative tasks, coordinating projects, and helping improve processes.

This role requires strong attention to detail, excellent communication, organization, and project management skills and you'll use all kinds of tools to manage daily operations and keep the team organized.

What Your Day-to-Day Will Look Like:

-Coordinate and communicate with third-party vendors and/or partners to ensure the smooth execution of strategic projects and keep deliverables in line with company objectives.
-Provide administrative support directly to the Director of Operations and CEO, assisting with day-to-day tasks.
-Coordinate meetings and handle logistics for team and member related events.
-Assist with managing Teamwork calendar and project timelines to ensure smooth operations.
-Utilize Google Drive, Teamwork, and Missive for organizing documentation and keeping communication channels clear.
-Help in creating, organizing, and managing operational documents like SOPs, reports, and other business-related materials.
-Contribute to the development and improvement of internal operational processes and procedures.
-Assist with tracking weekly data metrics for the team to support operational goals.
-Provide support in managing relationships with partners and affiliates by maintaining the partnerships tracker and ensuring updates on the affiliate page.
-Assist with onboarding new team members, ensuring they have the tools and information they need.
-Support with ad-hoc operational and administrative tasks as needed to ensure the smooth functioning of the business.

What You Need to Succeed:

-At least 5+ years of proven experience in operations and project management
-Experience in providing administrative and executive support.
-Experience in using project management and communication tools like Teamwork, Missive, and Google Drive.
-Strong attention to detail, organizational skills and ability to prioritize tasks in a fast-paced, remote environment.
-Exceptional written and verbal English communication skills.
-Proven ability to manage multiple tasks and stay on top of deadlines.
-A proactive problem-solving approach and ability to work independently with minimal supervision.
-Experience in refining and improving operational processes to enhance efficiency and productivity.
-Experience working remotely with reliable internet connectivity.
-Familiarity with expense tracking related to operations
-A team-oriented mindset with a willingness to adapt and learn new skills.
-Availability to attend weekly meetings and provide support as needed.
