JOB OVERVIEW

Looking for an Executive Assistant to perform a variety of administrative tasks such as research, marketing, accounting and general admin work on a daily basis. The ideal candidate should possess strong organizational skills, the ability to learn quickly, exercise independent judgment, plan, prioritize, and organize workload. Individuals must be self-motivated, honest, trustworthy, dedicated and determined with good comprehension skills.

Qualifications:

At Least 5 years experience working as an Administrative Assistant
Experienced in Basic Marketing, Content Creating and Social Media Management
Basic accounting knowledge and in Quickbooks is a PLUS!
Background in the medical field is an ADVANTAGE!
Proficient and has high attention to details
Produce work with a high level of accuracy
Professional level verbal and written communications skills
Detail-oriented and organized
Fast Learner and can work with minimal supervision
Resourceful
Proactive


Responsibilities includes but not limited to the following:


Research switching health insurance from company payments to personal payments.
Scheduling patients
Entering patient demographics and contact info into electronic medical record (EMR) system.
New member intake processing
MailChimp work: tagging contacts according to defined rules, creating and scheduling emails based on content we provide, and setting up multi-email automations
Research nurse practitioner independent practice authority in each state
In states where nurse practitioners have independent practice authority, research licensing and educational requirements
Keep track of state-by-state deadlines for license renewal and continuing education
Create and execute system for downloading completed patient lab results (sometimes from various labs), uploading results to EMR, and contacting patient through EMR to schedule next visit
Generate dashboards for our review
Triage emails, EMR messages, and electronic faxes
Prepare invoices for practice(s).
Update lists of non-engaged patients and revise MailChimp tags accordingly
Edit videos for social media, adding captions and other features
Research trending social media topics related to Functional Medicine
Post content on Instagram and Facebook
Report on social media engagement with recommendations for future content
Basic Bookkeeping
Payment history analysis

Personal
Research activities (e.g. travel, date night, family outings, etc.)
Research and enroll in activities we've chosen (e.g. kids' summer camps), including filling out necessary forms
Manage email inboxes
Manage timeshare points and reservations
Make necessary appointments (e.g. car service, medical/dental, etc.)
Book flights
Book hotels
Make restaurant reservations
