Role Overview:
As an Executive Assistant, you will be an integral part of Ibrahim Jackson's team. You will help manage his inbox, prioritize tasks, support social media efforts (primarily on LinkedIn), handle calls, and assist an existing EA in daily operations. The ideal candidate will have excellent organizational skills, a strong attention to detail, and the ability to adapt in a fast-paced, dynamic work environment.
Key Responsibilities:
Inbox Management: Organize and prioritize emails, flagging urgent tasks and responding when necessary.
Task Management: Assist in organizing and prioritizing daily tasks and projects to maximize productivity.
Social Media: Manage and maintain Ibrahim’s professional LinkedIn presence, ensuring consistency in messaging and engagement.
Call Handling: Answer calls and handle inquiries promptly and professionally.
Collaboration: Support and collaborate with the existing EA on shared tasks and responsibilities.
Productivity Optimization: Leverage AI tools (e.g., Gemini, ChatGPT) to streamline tasks and enhance efficiency.
Calendar & Meeting Coordination: Organize and maintain complex calendars, schedule meetings, and manage logistics for key meetings.
Travel Coordination: Arrange travel logistics, including flights, accommodations, and transfers, ensuring a smooth experience for executives.


Expense Management: Reconcile expenses and file reports accurately.
Communication: Send follow-up messages and reminders, ensuring timely execution of deadlines and commitments.
Administrative Support: Assist with special projects, organize team meetings, and maintain inventory of office supplies.
Confidentiality & Records Management: Handle confidential information appropriately and maintain accurate filing systems.
Ideal Candidate Profile:
Analytical & Detail-Oriented: Must demonstrate strong problem-solving skills and attention to detail.
Proactive & Independent: A self-starter who can anticipate needs and stay ahead of tasks with minimal direction.
Tech-Savvy: Comfortable working with Microsoft Office 365 (Word, Excel, PowerPoint, Outlook), SharePoint, Teams, and Adobe Acrobat. Experience with AI tools (e.g., Gemini, ChatGPT) is a plus.
Excellent Communicator: Strong written and verbal communication skills, particularly in virtual environments.
Adaptable & Positive Attitude: Able to thrive in a fast-paced environment with a positive and professional demeanor.
Collaborative Team Player: Highly collaborative, with the ability to work effectively with other team members and support shared goals.

Qualifications:
3+ years of administrative experience.
Strong interpersonal skills and decision-making ability.

Proficient in Microsoft Office Suite, Salesforce (data entry), and Apple products.
Project management skills are a major plus.
