About the Role: We are seeking an experienced and highly organized Executive Assistant to support Janet Breitenbach, an executive coach, and partner at a virtual executive coaching firm with 40+ coaches. This is a full-time role with the potential to share hours with Janet's husband or another coach in the firm. The ideal candidate will have a proven track record of supporting executives and strong skills in systems, accountability, and organization.
Key Responsibilities:
- Calendar Management: Scheduling and managing both client and internal meetings, accounting for 40% of Janet’s calendar.
- Travel Coordination: Booking flights and other travel arrangements at least twice per month.
- Business Development Support: Managing Janet's Biz Dev pipeline and HubSpot CRM, ensuring smooth operations and follow-ups.
- Task Leadership: Keeping Janet accountable by taking initiative, leading her with reminders, and following up on key tasks.
- Systematizing Communication: Automating and systematizing client follow-up
- Client Onboarding: Assisting with the onboarding of new clients into Janet’s firm.
- Inbox Management: Helping Janet stay organized by managing her inbox and ensuring she spends minimal time on
- Additional Tasks (Optional but Preferred):
- Helping with his scheduling needs for about 5 hours a week.
- Bookkeeping: Personal bookkeeping using Monarch software.
- Gift Coordination: Assisting with thoughtful gift giving (Giftology) and sending handwritten notes.
- Qualifications:
- Experience with or willingness to learn HubSpot CRM is required.
- Strong organizational and systems-oriented skills are essential.
- Must be detail-oriented, proactive, and capable of leading Janet with reminders and accountability.
- Ability to manage multiple tasks and prioritize efficiently.
- Comfortable with working virtually and participating in team-building activities within the firm.
- Experience in assisting high-level executives is highly preferred.

The compensation package includes:
- Competitive compensation: as much as Php600,000 annual earnings.
