JOB OVERVIEW

Job Title: Data Virtual Assistant (VA)

Position Overview:
We are looking for a highly organized and detail-driven Data Virtual Assistant (VA) to support our operations by managing and optimizing data processes. This role is essential for maintaining the accuracy of our data systems, ensuring smooth workflows, and tracking key performance metrics. The ideal candidate should have a strong understanding of workflow automation to help improve and streamline our processes.

Key Responsibilities:

Listings and Sales Pipeline:
Manage and track listing requests from initiation to finalization.
Maintain and update the Sales Dashboard with relevant data and progress.
Add leads to the "Finding Buyers" list to enhance buyer acquisition efforts.

Podio Management:
Review and clean up duplicate entries in Podio to maintain data integrity.
Add Propstream links to Podio leads for comprehensive lead tracking.
Assign accurate locations for Podio leads marked as "not set."
Assign leads for new comps and ensure proper data assignment.
Update Podio with alternative phone numbers for leads.

Troubleshooting and Customer Support:
Troubleshoot issues with marketing and data tools, identifying and resolving errors.
Communicate with customer support teams via email or chat to resolve tool-related problems.

Data and Metrics Tracking:
Track and report the number of calls made and minutes logged by agents.
Update employee Key Performance Indicators (KPIs) in the relevant systems.
Maintain and organize the Data Stash with the latest and most accurate information.

General KPIs Management:
Update OpenPhone logs for each agent to ensure accurate call tracking.
Track and log the number of contracts sent per agent.

Workflow Automation (Preferred):
Develop, implement, and manage automation workflows to improve data management efficiency.
Utilize tools like Zapier, Airtable, or Google Sheets for process automation.

Qualifications:
Experience in data management, administrative support, or virtual assistance is preferred.
Proficiency in CRM platforms like Podio, Propstream, and automation tools (e.g., Zapier, Airtable) is a huge plus.
Strong organizational and analytical skills with a focus on data accuracy.
Ability to troubleshoot and resolve technical issues with tools and platforms.
