Remote, Part Time Executive Assistant+ for Agency, STITCHCRAFT MARKETING

Hey! You there... Are you a crafty maker who is often complimented on your ability to be reliable, adaptable and SUPER organized? You know how to whip an inbox into shape, you have spreadsheets for your spreadsheets and you wouldn’t dare procrastinate an important task? Are you ambitious and looking for a position in a healthy, remote environment working on a female-centric team. Whoa, have we got a job for you! We’re looking for an executive assistant to help keep Leanne, our CEO on task with her email, calendar, sales follow up tasks as well as assisting Michelle, our COO with financial reporting, timesheets and basic accounting tasks. There may also be company-wide support tasks. A passion for fiber and/or fabric craft is a nice perk but not required but you’ll be surrounded by talented makers working exclusively with clients in the craft industry.

What Will You Be Doing? You are the gatekeeper, ring-leader and master of Google workspace for Stitchcraft Marketing CEO, Leanne Pressly. You delete all the junk in her inbox, respond to non urgent email and schedule her appointments so she can get right to the task of being the #bosslady on a daily basis. You will also assist in sales support functions- following up and nurturing existing clients. For our COO Michelle, you might chase down a new credit card from a client, prepare profit reports for the teaUpgrade to see actual infoeting or complete details in a contract in Docusign. You might also be responsible for internal marketing of the agency such as writing blog posts, our internal newsletter and/or posting our inbound marketing content to social media channels.

Time: This position will begin as part time (about 15-20 hours) but with experience will expand to full time within 6 months. Please do not apply if you cannot grow your hours with our company.

Job Duties:
Makes travel arrangements for CEO such as booking flights, cars, and hotel or restaurant reservations.
Manages and filters CEO inbox and writes simple correspondence.
Coordinates meeting times for CEO and manages business calendar.
Assists CEO in sales activities.
Accurately records all hours and activities in Harvest & Trello
Actively work to improve and enhance our business operations by writing or recording SOP’s.
Assists COO with financial tasks for the agency such as generating the client profitability reports, populating our invoicing reports etc.
Assists COO in sending our client contracts.
Assist AE’s in conducting research.
Generates and manages content for inbound marketing programs for the agency.


Skills/Qualifications:
Exhibits polite and professional communication via phone, e-mail, and mail.
Excellent written and oral skills with EXTREME attention to detail
Strong administrative, project management, multitasking and problem solving skills.
Advanced beginner or intermediate graphic design skills
Ability to conduct research for our strategic analysis work (looking at social channels and screen grabbing examples of work)
Available to work and conduct meetings during US timezone- preferably 8-4pm Mtn time
Are experienced working in a remote-first environment
Competent and confident with Zoom, Google Workspace, Slack, Trello, Dropbox, Excel, Canva, Internet browsing & searching, photo uploading, hyperlinking.
Competent with email platforms such as Mailchimp or Constant Contact.
Experience with ChatGPT or other AI tools is a bonus but not required
Command of the English Language
Excellent writing skills
Ability to maintain confidentiality and exercise sound judgment in all interactions.

Employee status compensation and benefits:
Weekly paycheck
Compensation $5-$7 USD per hour/Upgrade to see actual infoPHP per hour
4 paid holidays (you choose which dates)
Accrual of paid time off at a rate of 2:24 minutes per hour paid up to a max of 80 hrs. ( Note that is 2 min, 24 sec or 2.4 min)
Year end bonus if we are profitable (which we always are)

Our Hiring Process:
Stage 1: Candidates will be invited to a group interview the week of July 1, 2024
Stage 2: Finalists will be asked to perform 3 tasks related to the job requiring 1-2 hours of your time or less. This time will be compensated.
Stage 3: Final candidate will be offered the position which will begin the week of July 8, 2024
